Document Controls Specialist

KDG is seeking a proactive Document Controls Specialist to support a project team at large civil renovation project currently underway in Long Beach.  The Document Controls Specialist will be responsible for providing document controls support for the team and Project Manager. Duties include: submittals, assembling document packages, maintaining document libraries, submittal printing, ordering office supplies and assisting the project team with document generation and assembly, as needed. 

Essential Duties:

  • Assist the Project Manager, the Construction Manager and the Project Team in all matters relative to project documents and the control and distribution
  • Process project documents and maintain document control files in accordance with project document control procedures.  Types of project documents include correspondence, field memos, submittals, drawing log,etc. 
  • May assist in processing security badges , parking permit applications, and other security documents
  • Print change orders, allowance orders, correspondence and pay applications from electronic document system
  • Must be sensitive to time deadlines and ensure that work is accomplished in the time frames required and must be flexible and able to readily adapt to changing priorities
  • Assemble multiple submittal binders for Project Management Office review as requested
  • Maintain submittals library, ensuring that a master copy of submittals are kept for “Approved” submittals only
  • Assist Engineering team with any requested tasks, including generation of spreadsheets, as instructed
  • Assist with meeting preparation, as needed

Required Qualifications:

  • 3+  years of experience in document control and document processing related to a construction project
  • Bachelor’s degree in related field preferred; i.e.Construction Management
  • Previous experience managing a Document Control effort for a large-scale, construction project preferred
  • Demonstrated proficiency with large-scale Document Control management software. Primavera Contract Manager position a plus. 
  • Demonstrated proficiency with Microsoft Office suite of software products, e.g. Excel, Word, etc.
  • Must be a self-starter attitude with proactive, results-oriented focus; and willing and capable to assume additional responsibilities.
  • Must possess a “can-do” attitude: able to produce consistently accurate results at a fast pace.
    Must be able to occasionally wrap, lift and move boxes/packages
  • Strong communication skills, both written and oral
  • Proactive, dependable and collaborative individual with a strong sense of prioritization and time management skills
